The Human Resources Assistant will support our mission in developing a comprehensive continuum of care for
women, adolescents, and their families who are affected by alcohol, tobacco, and other drug use, mental health
problems, and violence/trauma. This position will provide critical support to the Human Resources and Operations
Departments through data management, payroll, staff development, and inventory and facilities systems. This position
is full-time and is based in Cambridge, MA, and is supervised by the Human Resources Manager.
Major Responsibilities:
Human Resources (65%):
• Coordinate Human Resources Information System (HRIS) Access Database and on-line SelfSource System,
including maintaining accurate data for COOP/Contact Lists, New Hires, Employee Changes; troubleshooting
system needs; producing all necessary reports; and providing support to staff using on-line SelfSource system
• Reconcile Timesheets bi-weekly
• Assist with and prepare Payroll semi-monthly
• Coordinate Employee Recognition Program: Birthdays, Anniversaries, Newsletter
• Organize Monthly All-Agency Staff Meetings
• Manage Internal/External CEU processes
• Coordinate Internal/External Training Contracts and logistics
• Maintain confidentiality of personnel records
• Other general support as assigned by Human Resources Manager and Director of Operations
Operations (35%):
• Coordinate Purchase Order and Inventory System (office supplies, equipment, on/off site storage)
• Coordinate Facilities Needs including working with building vendors, managing key/security system, office space
coordination, and storage
• Provide occasional lunch time phone coverage for the agency’s incoming calls
• Provide support to Director of Operations for grant coordination
• Bachelor’s degree or equivalent experience
• Minimum of 3 years professional office experience (non-profit experience preferred)
• Superior knowledge of MS Office, especially Excel and Access
• Experience working with databases to enter and manipulate data, comfortable with technical troubleshooting, and
reports generation
• Superior attention to detail and organizational skills
• Ability to handle confidential information
• Strong sense of responsibility and ownership of projects, and honest, diligent and hard-working
• Can-do positive attitude: high-energy; productive, proactive, and reliable; ability to multi-task
• Ability to prioritize requests and resolve problems
• Must possess polished, mature and diplomatic communication skills (written, verbal, phone manner, etc.)
• Ability to work independently as well as part of a team, often under tight deadlines and in a fast-paced
